Using Knowledge Health Agents to keep your knowledge up to date

Knowledge doesn't stay healthy on its own. Content goes stale, questions go unanswered, and quizzes start tripping people up. Knowledge Health Agents each watch a different part of your workspace and flag what needs attention, so you don't have to audit everything by hand.

Agents has three tabs: Recommendations, where everything the agents find shows up for you to review (see Using Recommendations to improve your knowledge base), Manage agents (https://app.usewhale.io/knowledge-health/agents) (covered in this article), and Coral settings.

*How many agents you can turn on and how often they can run depend on your plan. See Plan Limits below.

📍 Where to Find It

Go to Agents in your Whale workspace navigation, then open the Manage agents tab.

🤖 Meet the Agents

The Manage agents page shows every agent as a card, with the agent's name, what it looks for, and its status: Runs weekly, Runs every day or Runs every month. Health score shows Always on · free. Agents that are switched off are grouped under Switched off, with a count.

Health score — Scores every card and shows what would improve it.
Every time a card or checklist is saved, it gets a score out of 100. The score looks at things like readability, ownership, and missing examples or prerequisites. When something scores low, you'll see what's bringing the score down and suggested improvements. Health score is always on, can't be switched off, and doesn't count toward your plan's agent limit.

Answers — Finds questions Coral couldn't answer.
Watches questions asked to Coral that she couldn't answer — often a sign that knowledge is missing, outdated, or conflicting. You'll get recommendations showing the question that caused the problem.

Training — Finds where quizzes and onboarding break down.
Looks at quiz results to find questions many people fail. You'll see which question is causing trouble.

Freshness — Flags content that may be going stale.
Looks at when content was last edited or viewed and flags content that may need another review, so you can confirm it's still current or update it.

Search gaps — Finds searches with no useful results.
Watches searches in Whale that return nothing, or return results nobody opens. These point to knowledge that's missing, hard to find, or described with different words than people use. You'll see the searches so you can create content, improve what exists, or make it easier to find.

Unread content — Finds content nobody is using.
Surfaces content that hasn't been viewed recently, so you can decide whether it should stay, be improved, be made easier to find, or be retired.

Slack — Bring Whale's knowledge to the Slack channels where your team works.
Answers questions in the Slack channels you choose. It's off until you turn it on and runs continuously, so it has no schedule. See Using the Slack knowledge agent.

⚙️ Changing When an Agent Runs

Click an agent's card to open its settings. From there you can:

  • How often it runs — choose Daily, Weekly, or Monthly. If a frequency isn't included in your plan, you'll see: "This frequency is not included in your plan. Upgrade to unlock it."

  • What it watches — choose All content or Specific content.

Click Save to apply your changes, or Cancel to discard them.

🔌 Turning an Agent On or Off

Open the agent's settings and click Turn on or Turn off. Turning an agent off doesn't remove its recommendations straight away. They're cleaned up the next time the agent's schedule refreshes, and recommendations you've already marked Fixed or Archived stay. This doesn't apply to the Slack agent.

👥 Who Can Manage Agents

Admins can manage agents by default. To let other users change agent settings and turn agents on or off, give them a user role with the Agents permission:

  1. Under User management, select User Roles (https://app.usewhale.io/settings/roles).

  2. Click Add user role, or open Actions >Edit on an existing role.

  3. Enter a User Role Name, check Agents, and click Save.

  4. Go to Users, open Actions >Edit on the user, and choose the role.

See Adding users and creating groups.

📊 Plan Limits

Health score doesn't count toward these limits. The Slack agent does.

  • Scale — 3 active agents, Monthly only.

  • Advance — unlimited active agents, Weekly or Monthly.

  • Enterprise — unlimited active agents, Daily, Weekly or Monthly.

When you reach your plan's limit, you'll see: "Your plan's active agent limit is reached. Turn one off or upgrade to activate more."

✅ What Happens With What Agents Find

Everything an agent finds appears as a recommendation in the Recommendations tab. From there you can improve the content with Coral, assign it for review, answer an unanswered question, or mark it Fixed or Archived. See Using Recommendations to improve your knowledge base for how to work through the list.

❓ Common Questions

Can I turn off Health score?
No. Health score is always on and doesn't count toward your plan's agent limit.

Why can't I pick Daily for an agent?
Your plan doesn't include that frequency. Daily is included on the Enterprise plan.

Why can't I change an agent's settings?
Only admins and users whose role includes the Agents permission can change settings or turn agents on and off. Ask an admin to give you a role with the Agents permission.
