Why?


Next to manually assigning a Playbook or a Card for knowledge sharing, training purposes, and updates, you are also able to automate assignments using Flows.


Flows trigger the added assignments in a specific order for the user. This is perfect for automating onboarding processes or updating content to users when for example joining a new team. 


 How?

 

You can access the Training flow builder in the automations section of Whale:

Create a new flow

When creating a new flow you set a couple of metrics to go forward: 

  • flow name (click enter or save to start building)
  • what triggers the flow (when should the flow start)
  • user group
  • user type

Click continue and start adding Actions and Delays to your flow - can add a step in between any of th existing step by click on the plus in between steps when editing:

Add action:

  • Assign a card
  • Assign a playbook
  • Assign a badge
  • Assign a quiz

Add delay:

  • Hour(s)
  • Day(s)
  • Week(s)

Click on activate flow to save the flow and activate it.



Alternatively, you can create a training flow from anywhere in your workspace with the Create Anywhere option!




Additional options


Once the flow is created you can pause the flow or reactivate it when it's paused.

To edit or delete a flow, click the three-dotted menu in the column Actions of the flow. 


An assigned flow

To complete an assignment, the user has to mark this as done; this will allow the Flow to continue its set out path.

As an admin user, you can create, enable, edit, and delete flows whenever needed. Create flows by using step-by-step actions and delays to share specific content.

E.g., when you add a new user to your Whale environment, the user will be assigned to the New Hire Onboarding Flow, which includes knowledge such as



  • About the company,
  • Meet the team,
  • and other content related to onboarding new hires.
